Weave Alternatives for Practices and Clinics

Weave alternatives compared: Spruce Health, Phone.com, Talkroute, MightyCall and Callata. HIPAA options, published prices and which practices each fits.

Short answer: Weave is an all-in-one patient communication platform starting from $199 per month by quote. Alternatives with published pricing include Spruce Health ($24 or $49 per user, BAA included), Phone.com (HIPAA-compliant voice from $18 per user monthly), Talkroute (BAA available on Pro at $59 per month for up to 10 users) and MightyCall (HIPAA listed, from $20 per user annually). For businesses outside human healthcare, such as many veterinary clinics, salons or home services, a general phone system like Callata ($99 per month for up to five users, plus $20 per additional user) may cover the phone side at a lower cost.

Prices are from each vendor's pricing page, checked October 1, 2026, and exclude taxes and fees.

What Weave bundles

Weave's plans (Pro, Elite and Ultimate) combine VoIP phones (up to 15 on Ultimate), appointment reminders and confirmations, two-way texting, bulk texting allotments (1,500 to 15,000 messages), missed-call texting, online scheduling, digital forms, collections and overdue lists, reviews, email marketing, text-to-pay and payments, recall, call intelligence, team chat, fax and practice-software integrations for dental, veterinary, medical and optometry practices. Every plan includes onboarding and support.

That breadth is the reason to choose Weave. The reasons to look elsewhere are usually price, quote-based buying, or paying for modules you do not use.

First, decide whether HIPAA applies

The U.S. Department of Health and Human Services defines HIPAA covered entities as health plans, healthcare clearinghouses and healthcare providers who transmit health information electronically, plus the business associates that handle that information for them. If your practice is a covered entity, any vendor that handles patient information by phone, text, voicemail or fax needs to sign a business associate agreement (BAA).

Veterinary clinics, salons, spas and many wellness businesses are generally not HIPAA covered entities. They still need to protect client data, but they have more freedom in choosing a phone system.

Versus Weave: clearer pricing and strong clinical messaging; fewer front-office revenue tools such as payments and recall. See Callata vs Spruce Health.

2. Phone.com

Phone.com lists HIPAA-compliant voice and video on its plans, which start at $18 per user monthly (Basic) and include unlimited minutes, an auto attendant, video meetings and fax. Plus ($27) adds texting and voicemail transcription; Pro ($40) adds recording and CRM integration.

Versus Weave: a general business phone system with HIPAA-compliant voice; no reminders, recall or payments. See Phone.com pricing explained.

3. Talkroute

Talkroute's Pro plan ($59 per month for up to 10 users) includes unlimited phone menus, call recording, reporting, three numbers and 5,000 texts per month, and lists a BAA for HIPAA as available on Pro and Enterprise.

Versus Weave: predictable plan pricing for a small practice that mainly needs phones and texting. See Talkroute pricing explained.

4. MightyCall

MightyCall lists HIPAA compliance among its features. Core is $20 per user annually with a three-user minimum, including recording, IVR, call queues, three numbers and integrations; Pro ($38) adds supervisor tools and AI summaries.

Versus Weave: stronger call handling for a busy front desk; no practice-management features. See MightyCall pricing explained.

5. Callata (for non-HIPAA businesses)

Callata is a general business phone system: $99 per month for up to five users, plus $20 per additional user, with up to three local numbers, unlimited inbound calling and 1,500 pooled outbound US and Canada minutes per user (then $0.01 per minute), a shared texting inbox, call recording with AI summaries, voicemail transcription with urgency triage and business-hours routing. AI agents can answer after hours, collect a caller's details and request an appointment for your team to confirm, at $0.25 per minute. Callata does not sign BAAs and does not integrate with practice software.

Versus Weave: for businesses that do not need HIPAA or practice integrations, Callata costs less than Weave's $199 starting price for teams of up to nine users ($99 for five, $179 for nine; ten users reach $199). See Callata vs Weave.

Matching your practice to a platform

Practice type Consider
Dental, medical or optometry practice wanting one platform with reminders and payments Weave
Medical or mental health practice focused on secure patient messaging and telehealth Spruce Health
Small practice that mainly needs HIPAA-compliant phones Phone.com, Talkroute Pro
Busy front desk with call queues MightyCall
Veterinary clinic, salon or wellness business not subject to HIPAA Callata or another general system, unless you need practice integrations

Weave features to account for before switching

If you are already on Weave, list which modules your team actually uses each week. Reminders, recall and text-to-pay are often the reason practices chose Weave in the first place, and replacing them means adding separate tools to a cheaper phone system. Price those tools too, and count the staff time needed to run several systems instead of one. If you mainly use Weave for calls and two-way texting, a phone-focused alternative may cover most of your needs at a lower price. If you rely on its integrations, payments and recall, the switching cost is higher than the subscription difference suggests.

Questions to ask any vendor

  1. Will you sign a BAA, and which channels does it cover (calls, voicemail, texts, fax, recordings, AI transcripts)?
  2. Which practice management systems do you integrate with, and what does the integration do?
  3. What is the full monthly price for my location, users and phones, including hardware and onboarding?
  4. What is the contract length, and what happens at renewal?

Frequently asked questions

What does Weave cost?

Weave's pricing page says plans start from $199 per month and lists Pro, Elite and Ultimate tiers. Exact prices come from Weave's sales team.

What is a cheaper alternative to Weave for a medical practice?

Spruce Health publishes per-user prices of $24 (Basic) and $49 (Communicator) per month with a BAA included. Phone.com lists HIPAA-compliant voice on its plans from $18 per user monthly, and Talkroute offers a BAA on its Pro plan ($59 per month for up to 10 users).

Does a veterinary clinic need a HIPAA-compliant phone system?

HIPAA applies to covered entities such as health plans, healthcare clearinghouses and healthcare providers that transmit health information electronically, and their business associates. Veterinary records are about animals, so HIPAA generally does not apply, though state privacy rules and client expectations still matter.

Can Callata replace Weave?

Only for businesses that do not need HIPAA, practice-software integration, reminders or payments. Callata is a general business phone system and does not offer a BAA.
