Callata vs RingCentral: Which Fits a Small Team?

Callata vs RingCentral RingEX on price per team, SMS limits, AI receptionist costs and integrations, with an honest look at where RingCentral is stronger.

Short answer: RingCentral RingEX is a broad unified-communications platform priced per user ($30 per user per month on Core when billed monthly), while Callata is a focused business phone system priced at $99 per month including 5 users, then $20 per additional user. On monthly billing, teams of four or more that mainly need calling, texting, voicemail and call recording pay less with Callata, while RingCentral is cheaper for one to three users and its annual Core price is within a dollar of Callata from five users; companies that want video, fax, contact-center add-ons and hundreds of integrations in one contract are better served by RingCentral.

Figures below come from RingCentral's plans and pricing page, checked October 1, 2026, and from Callata's product pages. They exclude taxes and fees.

Pricing side by side

RingCentral sells RingEX in per-user tiers and offers a discount of up to 33% for paying annually. Callata sells one monthly plan with no annual contract.

RingEX Core RingEX Advanced Callata Office
Billed monthly $30/user/mo $35/user/mo $99/mo for 5 users, then $20/user
Billed annually $20/user/mo $25/user/mo Monthly only

AI receptionist Add-on, from $39/mo Add-on, from $39/mo AI agents billed at $0.25 per minute used

RingCentral also lists add-ons that small teams often end up buying: Business SMS Booster at $25 per month, Call Queues Booster at $35 per month, Conversational Intelligence from $60 per month, and extra local or toll-free numbers at $4.99 per month each.

Cost by team size

Team size RingEX Core, monthly billing RingEX Core, annual billing Callata Office
2 users $60 $40 $99
3 users $90 $60 $99
4 users $120 $80 $99
5 users $150 $100 $99
10 users $300 $200 $199

On month-to-month terms, RingCentral Core is cheaper for one to three users and Callata costs less from four users on. If you are willing to sign an annual RingCentral contract, Core at $20 per user is cheaper than Callata up to four users and within a dollar of it from five users up, because Callata's extra users are also $20 each. At five users on monthly billing, the difference is about $612 per year.

Texting limits are the hidden cost

RingCentral includes 25 SMS per user per month on Core. A five-person team gets a pooled view of 125 messages, which a busy front desk can use up in a few days of appointment confirmations. Advanced raises that to 100 per user, and beyond that you buy the SMS Booster or pay per message for high-volume SMS.

Callata does not sell texting by the message. Your business number gets a shared inbox with templates, delivery receipts and AI-suggested replies once your 10DLC carrier registration is approved, which costs $49 once and usually takes 3 to 10 business days. Callata's messaging policy and fair-use terms still apply, so it is not a bulk marketing tool.

AI features compared

RingCentral includes its AI Assistant on RingEX plans, with call captions, transcriptions and notes on phone calls, and summaries on video meetings. The AI Receptionist (AIR) is an add-on starting at $39 per month, and Conversation Intelligence is separate.

Callata summarizes every recorded call with sentiment and action items and saves the summary to the contact's history. Voicemails are transcribed and triaged for urgency. Callata's AI workforce lets you deploy AI receptionists, sales reps, support reps or schedulers that answer calls after hours or when nobody picks up, text, email, take messages and transfer to a person. There is no monthly fee for the agents themselves; they use prepaid AI minutes at $0.25 per minute, and you can connect your own ElevenLabs account instead. Outbound AI calls are limited to people who gave prior consent and to 8am to 9pm.

Where RingCentral is stronger

Be clear about what you would give up:

  • Integrations. RingCentral says it has more than 330 integrations, including Salesforce, HubSpot, Zendesk and ServiceNow. Callata connects to Gmail and keeps its own contact history, but it does not offer a CRM marketplace.
  • Video, fax and team messaging. RingEX includes meetings, team chat and fax. Callata does none of those.
  • Desk phones and native apps. RingCentral supports desk phones and has desktop and mobile apps. Callata runs in the browser and rings your cell.
  • Scale and compliance documentation. RingCentral publishes a large portfolio of compliance certifications and supports multi-site PBX replacements. Callata is built for small teams.
  • Toll-free and international numbers. RingCentral sells both. Callata includes up to three local numbers only.
  • Track record. RingCentral is an established public company; Callata is a newer product.

Where Callata is stronger

  • Five users included in the $99 base price, with $20 per additional user, so teams of four or more pay less than RingEX Core on monthly billing.
  • No per-user SMS allowance to track.
  • AI call summaries and voicemail urgency triage included rather than sold as add-ons.
  • No annual contract needed to get the lowest price.
  • AI agents billed by the minute instead of a monthly add-on.

Setup and day-to-day use

RingCentral is a large platform, and its admin portal reflects that: users, sites, call queues, IVR menus, devices and integrations each have their own settings. That depth is useful for an IT manager running several offices, but a five-person team often needs help from a partner or RingCentral's onboarding to configure it well.

Callata is set up from one admin area. You choose up to three local numbers, register your 911 address, set business hours and an after-hours rule, create ring groups or extensions, and invite teammates by email. Calls ring in every open Callata browser tab, and each person can turn on "Ring my cell too" so calls follow them when they step away from the computer. Business texting goes live once the carrier approves your 10DLC registration.

The practical difference is how much configuration you want to own. If you have an IT person and need fine-grained control, RingCentral offers it. If the office manager will run the phones between other jobs, a smaller system is easier to keep working.

Moving your numbers

Callata ports numbers in for free. You email [email protected] with the number, your current carrier, the account holder name, service address and a recent bill, then sign a letter of authorization. Keep RingCentral active until the port completes, and check whether your RingCentral agreement has a term commitment before you cancel; annual billing is a prepaid commitment.
