Callata vs Nextiva: Small Business Phone Compared
Callata vs Nextiva on monthly cost, SMS allowances, call recording add-ons, AI summaries and support, with a fair look at where Nextiva is the stronger pick.
Short answer: Nextiva is a full communications platform priced per user, starting at $23 per user per month on monthly billing ($15 on an annual contract) for its Core plan. Callata is a focused phone and texting system at $99 per month including 5 users, then $20 per additional user. Nextiva wins on breadth (video, team chat, 24/7 phone support, CRM add-ons, a path to a contact center) and its annual Core price is the cheapest option at any team size, while Callata wins on simplicity and on month-to-month cost from five users, especially if you want call recording and AI summaries without paying for an upper tier.

Plans and pricing
Nextiva shows two prices for each small-business plan: a lower price for annual billing and a higher one for month-to-month. Nextiva notes that annual small-business pricing is for new customers with 1 to 100 employees signing a 12-month or longer term.

Nextiva Core on an annual contract is the cheapest option here at every team size shown. On month-to-month terms, Core is cheaper up to four users and Callata becomes cheaper at five. If you need call recording, compare Callata with Core plus the recording add-on, or with Engage, where recording is included; on annual billing Engage is cheaper than Callata up to three users, about even at four and more expensive from five.
The SMS question
Core includes 100 texts per user per month. For a five-person team, that is 500 texts across the account if pooled, which suits occasional confirmations but not a front desk that texts all day. Engage raises the allowance to 500 per user, and Scale makes it unlimited. Core also lists "customers can text your team" as an add-on, which matters if customers reply to a shared business number.
Callata's texting runs through a shared team inbox on your business number, with templates, delivery receipts and AI-suggested replies, after a one-time $49 carrier registration that typically takes 3 to 10 business days. Callata does not publish a per-user text allowance; its messaging policy and fair-use terms apply, and it is meant for conversations, not bulk marketing.
AI features
Nextiva reserves AI call notes, summaries and real-time transcription for Scale at $75 per user, and sells XBert AI plans separately, advertised from $99 per month. Voicemail transcription is included on all plans.
Callata includes AI summaries on every recorded call, with sentiment and action items saved to the contact's history, plus voicemail transcription with urgency triage. Its AI workforce (receptionist, sales, support or scheduler agents) answers calls after hours or when nobody is free, texts, emails, takes messages and transfers to a person, billed from prepaid minutes at $0.25 per minute with no monthly AI plan. Outbound AI calls require the recipient's prior consent and run only between 8am and 9pm.
What using each one feels like
Nextiva is built as one app for many channels. Calls, texts, video meetings, team chat, email and (on higher plans) social messages and online reviews arrive in a single inbox in the desktop or mobile app. For a business that wants one vendor for all customer conversations, that is the main attraction, and it is why Nextiva's upper plans look more like a customer-experience platform than a phone system.
Callata is narrower on purpose. Staff open Callata in a browser tab, and calls ring every open tab; anyone who steps away can have calls ring their cell as well. Calls follow your business-hours and after-hours rules, ring groups and extensions. Texts land in a shared inbox for the business number, recorded calls arrive with an AI summary, and voicemails arrive transcribed with an urgency flag. There is nothing to configure for video, chat or social channels because Callata does not do them.
If your team already uses another tool for meetings and chat (for example Google Meet, Zoom or Slack), Nextiva's extra channels may duplicate what you have. If you want to consolidate everything with one vendor, Nextiva covers more of it.
