What good business texting looks like

Texting is now a core part of how small businesses talk to customers, so it is worth judging providers on the texting workflow, not just whether texting is included:

  • Shared vs personal inboxes. Can several teammates see and answer texts to the main business number, or do messages land on one person's app?
  • Opt-out handling. Does the system automatically honor STOP and similar keywords? Callata blocks further texts to anyone who opts out until they reply START.
  • Registration support. US carriers require 10DLC brand and campaign registration before you text from a local number. Ask how each provider handles it, what it costs and how long approval takes.
  • Allowances and caps. Ooma Pro caps texts at 250 per month and RingCentral Core includes 25 per user; Talkroute includes 500 to 5,000 per plan. Make sure the allowance matches your real volume.
  • Templates and speed. Templates and AI reply suggestions save time on repeat questions like hours, directions and quotes.

Phone.com supports conversational texting on Plus and Pro, limited to person-to-person messages, and says customers must register and accept carrier fees before texting. That is fine for replying to customers but not for campaigns.

Choosing

  • You need fax, video and desk phones together: stay with Phone.com or look at Ooma Office.
  • You need HIPAA-compliant voice: Phone.com lists it; Talkroute Pro offers a BAA.
  • Your team texts all day from one business number: Callata's shared inbox.
  • You want the cheapest per-user texting app: Quo Starter.
  • You want plan pricing with a texting allowance for a small team: Talkroute Plus or Pro.

Switching checklist

  • Note which users are on which Phone.com plan.
  • Check whether you are on an annual term.
  • Register for texting with the new provider early.
  • Port numbers and keep Phone.com active until each port completes.
