Callata vs Google Voice for Business Teams

Callata vs Google Voice for small teams: Workspace requirements, per-user Voice tiers, ring groups, AI notes, texting and which costs less at your size.

Short answer: Google Voice is an inexpensive add-on for companies that already pay for Google Workspace; its team plans cost $10, $20 or $30 per user per month on top of Workspace. Callata is a standalone phone system that costs $99 per month with five users included and $20 per additional user. If you are a solo user or a small Workspace shop with up to four people, Google Voice is cheaper. If you need ring groups, business-hours routing, recording with AI summaries and shared team texting for four or more people and would otherwise pay for Workspace too, Callata usually costs less and includes more.

Google Voice details are from Google's Voice product page and Workspace pricing page, both checked October 1, 2026. Callata details are from callatta.com.

How Google Voice is packaged

Google sells Voice in two ways.

For individuals: a Basic plan at $0 per month (a separate number on your devices, unlimited domestic calling and texting, existing mobile number required), Starter at $10 per month, and Standard at $20 per month, which Google was offering at 50% off for the first six months.

For teams: Starter at $10 per user per month (up to 10 users), Standard at $20 per user per month, and Premier at $30 per user per month. Every team plan requires a Google Workspace plan billed separately. Google's Workspace pricing page lists Business Starter from $7 per user per month.

Cost by team size

Assume Workspace Business Starter at $7 per user per month as the minimum Google subscription. Many teams already pay for Workspace for email, so the extra cost of Voice is the more relevant number for them; both are shown.

Team size Voice Standard only Voice Standard + Workspace Starter Callata Office
1 user $20 $27 $99
3 users $60 $81 $99
4 users $80 $108 $99
5 users $100 $135 $99
10 users $200 $270 $199

If you already pay for Workspace and only need Voice Starter's features, a three-person team pays $30 per month for Voice, less than a third of Callata's price. If you already pay for Workspace and need auto attendants or ring groups (Standard), Voice is cheaper up to four users and roughly the same price from five users on, since both then add $20 per person. If you would be buying Workspace only to get Voice, Callata costs less from four users.

Where Google Voice is stronger

  • Price for one to four people, especially if you already pay for Workspace.
  • Inside Google's ecosystem. Voice lives alongside Gmail, Calendar and Meet, and Workspace admins manage it from the same console.
  • Native apps and desk phones. Voice has mobile apps and supports desk phones and ATAs on paid plans. Callata runs in the browser and rings your cell.
  • Compliance tooling. Standard and Premier include eDiscovery for calls, voicemails and texts, and Premier adds BigQuery reporting.
  • International presence. Premier supports unlimited international billing locations. Callata covers the US and Canada.
  • Support. Paid Voice plans include 24/7 Google Voice support. Callata support is email-based with a one-business-day reply target.

Where Callata is stronger

  • Five users included. The $99 plan covers up to five people; each additional user is $20 per month.
  • No second subscription. You do not need Workspace or any other platform.
  • AI summaries on every recorded call, with sentiment and action items saved to the contact's history, without moving to a $30 per-user tier.
  • Voicemail triage. Callata transcribes voicemail and flags urgency, then schedules a callback around business hours.
  • Shared team texting from a business number, with templates, delivery receipts and AI reply suggestions.
  • AI agents. Callata's AI receptionists, sales, support and scheduler agents answer calls after hours or when nobody picks up, text, email, take messages and transfer to a person, billed at $0.25 per minute. Google Voice's plans do not list an AI call-answering agent.

Three common scenarios

A solo consultant on Gmail. Google Voice is hard to beat. The individual Starter plan at $10 per month gives you a business number on your phone and laptop, call recording and 24/7 support. Callata's $99 plan includes five users and is designed for teams, so it would cost more than you need.

A four-person agency already on Workspace. If you only need everyone reachable on their own number, Voice Starter at $40 per month for four people is cheaper than Callata. If clients call one main number that should ring whoever is free, with an after-hours message and a shared text inbox, you need Voice Standard at $80 per month, which is still less than Callata's $99. Callata makes sense for this team mainly for its AI summaries, voicemail triage, AI agents and shared texting inbox, not on price.

A seven-person home services company. The office wants calls routed by business hours, every job call recorded and summarized, and urgent voicemails flagged first. On Google Voice Premier that is $210 per month plus Workspace. Callata covers it for $139 (five included users plus two at $20), though you give up desk phones and eDiscovery.

Common Google Voice frustrations

Teams usually start looking elsewhere for three reasons. First, the free Basic plan is personal; it requires your own mobile number and is not built for a shared business line. Second, Starter lacks auto attendants and ring groups, so routing calls to the right person means paying for Standard. Third, costs stack: Workspace plus Voice for every person who needs a number.

Moving from Google Voice to Callata

You can port a Google Voice number to another carrier. Google documents a process for unlocking a number for transfer on its support site; follow it before requesting the port. Then:

  • Unlock the Google Voice number for transfer and note any fee Google charges.
  • Email [email protected] with the number, account holder name and service address; Callata ports in for free.
  • Register for 10DLC texting in Callata on day one (approval usually takes 3 to 10 business days).
  • Recreate your routing in Callata: business hours, after-hours rule, ring groups and extensions.
  • Keep Google Voice active until the port completes.
