Ooma Office Pricing Explained (2026)

Ooma Office pricing for 2026: Essentials, Pro and Pro Plus per-user costs, the activation fee, texting caps, AI add-ons and what a 5 or 10 person team pays.

Short answer: Ooma Office costs $19.95 (Essentials), $24.95 (Pro) or $29.95 (Pro Plus) per user per month, plus a one-time $29.95 activation fee, with no contract required. A five-person team on Pro, the cheapest plan with texting, pays $124.75 per month before taxes and fees.

These figures come from Ooma's business phone plans page as checked on October 1, 2026. Ooma can change prices at any time, so confirm at checkout.

The three self-serve plans

Plan Price per user/month Key inclusions listed by Ooma
Essentials $19.95 100+ standard features, unlimited calling in the US, Canada, Mexico and Puerto Rico, virtual receptionist, mobile app, one free toll-free number, digital fax
Pro $24.95 Everything in Essentials plus desktop app, text messaging (up to 250/month), video meetings (up to 25 participants), call recording, enhanced call blocking
Pro Plus $29.95 Everything in Pro plus AI Transcriptions, AI Insights, CRM integration, text messaging (up to 1,000/month), video (up to 100 participants), team chat, hot desking, call queuing
Enterprise Custom Everything in Pro Plus plus SIP trunking, Microsoft Teams integration and direct routing, call center solutions, advanced analytics

Each self-serve plan is labeled "No Contract Necessary." The free toll-free number comes with 500 inbound minutes per month.

Fees beyond the monthly price

Activation fee

Ooma's checkout subtotal shows a one-time activation fee of $29.95. Budget for it when you compare first-month cost.

Taxes and regulatory fees

Like every US phone provider, Ooma adds taxes and regulatory fees on top of list price. These vary by location, so the per-user number on the plans page is the floor, not the final bill.

Hardware

Ooma Office works with its own base stations and desk phones as well as the mobile and desktop apps. Hardware is optional but is a real cost if your office wants physical handsets.

AI add-ons

The AI Receptionist, AI Answering Service and AI Productivity Agent Bundle are add-ons on Essentials, Pro and Pro Plus. Ooma's plans page does not publish their prices, so you will need a quote.

Extra texts

If 250 or 1,000 messages per user per month is not enough, Ooma offers bulk SMS packages by quote through sales.

What teams of different sizes pay

Team size Essentials Pro Pro Plus
1 user $19.95 $24.95 $29.95
3 users $59.85 $74.85 $89.85
5 users $99.75 $124.75 $149.75
10 users $199.50 $249.50 $299.50
20 users $399.00 $499.00 $599.00

Add $29.95 once for activation. The math is simple, but it grows linearly: every new hire adds another $19.95 to $29.95 to the monthly bill.

When Ooma Enterprise is worth a call

Ooma's Enterprise tier is custom-priced and adds SIP trunking, Microsoft Teams integration and direct routing, call center solutions, advanced analytics and custom implementation. It is aimed at organizations with existing PBX equipment, Microsoft Teams as the main collaboration tool, or a staffed call center. A small office that only needs voice, texting and voicemail will not need it, and the self-serve plans are easier to budget because their prices are published.

Which Ooma plan makes sense

  • Essentials fits teams that only need voice, a virtual receptionist and fax, and never text customers.
  • Pro is the minimum if you text customers or want call recording. Watch the 250-message cap.
  • Pro Plus is the plan to pick if you want AI transcription and insights, CRM integration or call queues.

A common mistake is buying Essentials and later discovering that texting is not included. Another is buying Pro Plus for every person when only one or two staff members need call queues or CRM integration; check whether Ooma lets you mix plans on your account before committing.

How Ooma compares with other per-user vendors

Ooma is one of the less expensive per-user providers on list price. Here is how its texting-capable Pro plan compares with the lowest calling-and-texting plans from other well-known vendors, billed month to month, as published on each vendor's pricing page in late September 2026.

Vendor and plan Per user, monthly billing 5 users
Quo Starter $19 $95
Nextiva Core $23 $115
Ooma Office Pro $24.95 $124.75
Dialpad Standard $27 $135
RingCentral RingEX Core $30 $150

Annual contracts lower several of these. RingCentral Core drops to $20 per user and Nextiva Core to $15 per user on annual billing, for example. Ooma's self-serve plans are month to month with no contract, which is part of its appeal.

Ways to keep an Ooma bill down

  • Match plans to roles. Not every person needs Pro Plus. If your account allows mixing plans, give call-queue and CRM features only to the people who use them.
  • Skip Essentials if you text at all. Upgrading later is not expensive, but switching numbers or workflows mid-month is a nuisance.
  • Use the included toll-free number instead of buying one from a third party.
  • Reuse existing phones. Ooma supports its own hardware; check compatibility before buying new desk phones.
  • Review your user list quarterly. Per-user billing means departed staff keep costing money until someone removes them.

How Ooma compares with Callata

Ooma's per-user model is cheap for very small teams. One person on Essentials pays $19.95, far less than Callata's $99 base price. The picture changes as headcount grows.

Callata Office is $99 per month including five users, plus $20 per additional user, with up to three local numbers, unlimited inbound calling and 1,500 pooled outbound US and Canada minutes per user per month (then $0.01 per minute), team texting (after a one-time $49 carrier registration), call recording with AI summaries, voicemail transcription and E911. Compared with Ooma Pro, Callata costs more for one to three users and less from four users upward ($99 versus $99.80). At five users the difference is $25.75 per month, and at ten users it is $50.50 ($199 versus $249.50).

Ooma includes things Callata does not: a toll-free number, digital fax, video meetings on Pro and up, desk phone hardware and native mobile and desktop apps. If those matter, Ooma's per-user price buys real value. If your team of four or more mainly needs calls, texts and voicemail on laptops and cell phones, Callata usually costs less.

Pricing checklist before you buy

  • Count every person who needs a line, including part-time staff.
  • Decide whether you need texting; if yes, Essentials is out.
  • Estimate monthly text volume per person against the 250 or 1,000 cap.
  • Ask sales for AI add-on pricing if you want an AI receptionist.
  • Add the $29.95 activation fee and any hardware to first-month cost.
  • Confirm taxes and fees for your address at checkout.
