Callata vs Vonage Business Communications

Callata vs Vonage Business Communications: per-line pricing tiers, where recording and voicemail transcription sit, desk phones, and which suits small teams.

Short answer: Vonage Business Communications (VBC) prices per line, from $19.99 per month for a single Mobile line on monthly billing up to $39.99 for Advanced, with lower per-extension rates as you add lines. Call recording and voicemail transcription are only on Advanced. Callata Office is $99 per month with five users included, then $20 per additional user, and includes recording with AI summaries and voicemail transcription on its only plan. Vonage is the better choice if you need desk phones, video meetings or an established carrier, and Vonage Mobile costs less than Callata at every team size if you only need calls and texts. Against Vonage Advanced, the tier with recording and transcription, Callata is cheaper from three users up.

Vonage prices are from its VBC pricing page, checked October 1, 2026. Callata details are from callatta.com. Prices exclude taxes and fees.

How Vonage prices its plans

Vonage asks how many employees you have and adjusts the per-line price by team size. On standard monthly billing, the page showed these prices:

Plan Single line Larger teams (per extension) What it adds
Mobile $19.99/mo $17.99 to $14.99/mo Desktop and mobile apps, unlimited domestic calling, SMS and MMS, voicemail
Premium $29.99/mo $27.99 to $24.99/mo Everything in Mobile plus VoIP desk phone support, unlimited video meetings up to 200 participants, team messaging, app center, single sign-on
Advanced $39.99/mo $37.99 to $34.99/mo Everything in Premium plus on-demand call recording (15 hours/month), visual voicemail with transcription, call groups

When we checked, Vonage was running a 12-month promotion of 30% off. Annual billing lowers prices further but requires a one-year contract for new accounts; monthly plans have no early termination fees. Vonage says a main local company number is included with online purchases.

What a team pays

Using standard monthly prices (and the higher per-extension figure to stay conservative):

Team size Vonage Mobile Vonage Advanced Callata Office
1 line $19.99 $39.99 $99
3 lines $53.97 $113.97 $99
5 lines $89.95 $189.95 $99
10 lines $179.90 $379.90 $199

If you only need calls and texts, Vonage Mobile is cheaper than Callata at every team size in the table. The fair comparison for features is Advanced, because that is where Vonage puts recording and voicemail transcription, both of which Callata includes. At one or two lines Advanced is still cheaper ($39.99 and $79.98), but from three lines Callata costs less: $14.97 less at three, $90.95 less at five and $180.90 less at ten.

Feature differences in practice

Recording limits

Vonage Advanced includes on-demand recording capped at 15 hours per month. A small team that records every customer call could approach that cap. Callata does not publish a recording cap; recordings are stored privately and shared through short-lived links, and each recorded call is summarized with sentiment and action items.

Voicemail

Vonage's visual voicemail with transcription is an Advanced feature. On Callata, every voicemail is transcribed, triaged for urgency and paired with a callback scheduled around your business hours.

Hardware and meetings

Vonage Premium and Advanced support VoIP desk phones and include video meetings for up to 200 participants. Callata has neither. If a reception desk or warehouse needs a physical handset, Vonage is the practical choice.

Routing

Vonage reserves call groups for Advanced. Callata includes ring groups, extensions, hold and business-hours and after-hours routing on its single plan.

Who each one is built for

Vonage Business Communications is a traditional business phone service moved to the cloud. It assumes some people will sit at desk phones, that the company may want meetings and messaging from the same vendor, and that larger customers will negotiate. Its tiering reflects that: the Mobile plan is a lightweight app-only line, while Premium and Advanced add the pieces an office with handsets and a receptionist expects.

Callata is built for small teams that already work from laptops and cell phones. It assumes the business has one to three public numbers, that everyone on the team may need to answer them, and that the owner wants a written record of calls and voicemails without reviewing recordings by hand. That is why recording, transcription and AI summaries are part of the base price, while hardware and video are left out entirely.

A dental office with a front desk, a warehouse with a shared handset on the wall, or a company that runs meetings in Vonage would all lean Vonage. A remote marketing agency, a home services company dispatching from phones, or a small law practice that wants every client call summarized would lean Callata.

Where Vonage is stronger

  • Desk phones and video on Premium and above.
  • Native desktop and mobile apps on every plan.
  • App center and single sign-on from Premium.
  • Long carrier history and the scale of a large telecom company.
  • Cheapest option at any team size if you only need calls and texts on the Mobile plan.
  • Cheaper than Callata at one or two lines even on Advanced.

Where Callata is stronger

  • Recording and voicemail transcription without the top tier.
  • AI summaries on every recorded call and voicemail urgency triage.
  • Five users included in the $99 base price, $20 per user after that, month to month.
  • Self-serve AI agents for after-hours and missed calls, billed per minute.
  • Simple pricing. One plan, no team-size tiers to track.

A quick way to decide

  • Need desk phones or built-in video meetings? Vonage Premium or Advanced.
  • Need recording and voicemail transcription for three or more people? Callata costs less than Vonage Advanced.
  • Only need calling and texting? Vonage Mobile costs less at any team size.
  • Want an AI receptionist without a sales process? Callata.
  • Considering annual billing? Check Vonage's one-year contract terms first.

Switching from Vonage

Callata ports numbers in for free. Email [email protected] with the number, current carrier, account holder name, service address and a recent bill, then sign the letter of authorization. Start Callata's texting registration on the first day, since carriers usually take 3 to 10 business days to approve it. If you are on an annual Vonage contract, check its end date and any early termination terms before you cancel, and keep Vonage active until the port completes.
