Dedicated AI Phone Line or AI as Backup?
Should an AI agent answer every call on its own number, or only calls your team misses? Compare cost, caller experience and best uses for each setup.
A dedicated AI line answers every call to one number with an AI agent; AI as backup only answers calls your team misses (overflow) or calls outside business hours. Backup is the safer default for your main number because people still answer first. A dedicated AI line works best for numbers nobody staffs well, such as ad tracking numbers, booking lines or after-hours-heavy services.
The two setups
AI as backup
- Main number rings your team first
- AI answers only when nobody picks up, or after hours
- AI minutes used only on missed calls
Dedicated AI line
- A specific number is assigned to the AI
- Every call to that number is answered by the AI
- AI minutes used on every call
- Callers can still ask for a person and be transferred
Side-by-side
| Factor | AI as backup | Dedicated AI line |
|---|---|---|
| First voice callers hear | Your team (usually) | The AI |
| Minutes used | Lower | Higher |
| Answer speed | Ring time plus AI | Immediate |
| Best for | Main business number | Ads, booking, specialized lines |
| Risk | Low; humans still primary | Moderate; AI handles everything first |
| Setup effort | Ring time + agent | Number + agent |
When a dedicated AI line makes sense
Ad and campaign numbers
If you run ads with their own phone number, callers are usually new and asking similar questions: price, availability, service area. A sales-focused AI agent answering immediately qualifies them and books follow-ups. Speed matters for these leads; the 2011 Harvard Business Review lead-response study found that responding within an hour sharply improved the odds of qualifying a lead.
Booking lines
A "call to book" number where nearly every caller wants an appointment fits an appointment-setter agent. See AI appointment booking calls.
Information lines
Status lines, event lines, or seasonal service lines where most calls are the same few questions.
Lines nobody staffs
A second location, a spin-off service, or a number on vehicle signage that would otherwise go to voicemail.
When backup is the better choice
- Your main number, where existing customers expect a person
- Lines where calls are complex or emotional
- Teams that answer most calls already and only miss peaks
- Businesses where every call is high value and personal
Combining both
A typical small-business setup:
| Number | Setup |
|---|---|
| Main number | Team rings first; AI overflow; AI after hours |
| Ad number | Dedicated AI sales agent |
| Booking number | Dedicated AI appointment setter |
| Text line | AI replies until a teammate responds |
Each agent gets its own role and facts focused on its job. See choosing an AI agent role.
Cost comparison example
Assume your main line gets 300 calls a month and your team misses 40, plus 50 after-hours calls. Your ad number gets 60 calls. Average AI call: 2.5 minutes (an assumption; measure your own).
| Setup | AI calls | Minutes | At $0.25/min |
|---|---|---|---|
| Backup only on main line | 90 | 225 | $56.25 |
| Dedicated AI on main line | 350 | 875 | $218.75 |
| Backup on main + dedicated ad line | 150 | 375 | $93.75 |
The middle row shows why dedicating your main line to AI is rarely the right first move: you pay AI minutes for calls your team would have answered.
Caller experience considerations
- Disclose AI in the greeting on dedicated lines; callers didn't get a chance to reach a person first
- Offer a person early on dedicated lines: "I can help, or connect you with the team"
- Make transfers work: dedicated lines receive every call, so a broken transfer affects everyone
Outbound calls from a dedicated line
If an agent also places calls, they usually come from its assigned number. That's useful: callbacks go straight back to the same agent. But outbound AI calls need prior express consent under the TCPA, as the FCC confirmed in February 2024 for AI-generated voices. See AI outbound calls and the TCPA.
Decision checklist
- Does someone on your team answer this number most of the time? → Backup
- Is this number mostly new callers with similar questions? → Dedicated
- Do callers expect a specific person? → Backup
- Would calls otherwise go to voicemail? → Dedicated
- Is your AI minute budget limited? → Backup first
- Do you track ad performance by number? → Dedicated on the ad number
Switching later
These choices aren't permanent. A common path:
- Start with backup (after hours, then overflow) on the main line.
- Add a dedicated AI agent on a new ad or booking number.
- Review results monthly and adjust.
Keeping the main number human-first while experimenting with dedicated lines limits risk while you learn what works.
Tracking results by number
One underrated benefit of a dedicated AI line is clean measurement. When an agent owns a number, every call on it is an AI call, so you can see exactly how many callers it served, how many it transferred, how many messages and callback requests it created, and how many minutes it used. Compare that with the bookings or sales that came from the same number. For ad numbers, this tells you both whether the ad works and whether the AI handles its callers well, which is hard to untangle when calls mix with your main line.
Example: a roofing company's setup
A roofing contractor gets most new business from local ads and yard signs, and most existing-customer calls on its main number. It sets up:
- Main number: rings the office for 25 seconds; AI receptionist picks up overflow and after-hours calls, takes messages for project managers, and transfers urgent leak calls to the owner.
- Ad number: a dedicated sales agent answers every call immediately, asks what the caller needs (repair, replacement, inspection), the property address, timeline and how they heard about the company, then schedules a callback for an estimate.
- Yard-sign number: the same sales agent, with a fact that tells it which neighborhood campaign the number belongs to.
After a month, the owner compares callback requests from the ad number with booked estimates and sees which ads are worth renewing. The main line stays human-first, so existing customers still reach the people they know.
Setting it up in Callata
Callata Office is $99 per month and includes up to three local numbers and five users, with additional users at $20 per month. In AI Workforce, each agent has an "Answers this number directly" setting: pick a number to make it a dedicated AI line, or leave it on "No dedicated line" and use the toggles for after hours, picking up when nobody answers, and replying to texts. One agent can do both, or you can run separate agents for each job.
When an agent with a dedicated line sends texts or places calls, Callata uses that line's number. AI minutes are $0.25 per minute of talk time. Set up a dedicated AI line in Callata.
Frequently asked questions
What is a dedicated AI line?
A phone number answered by an AI agent on every call. You might put it on ads, a booking page or a specific service. Your main number keeps ringing your team.
Can I use both a dedicated AI line and AI backup?
Yes. A common setup is AI answering a booking or ad number full-time, while the main line rings the team first and uses AI for overflow and after hours.
Does a dedicated AI line cost more?
It uses AI minutes on every call to that number, so usage is higher than backup-only. Whether that's worth it depends on how many of those calls your team would have answered anyway.
