AI Receptionist for Salons, Spas and Studios

How salons, spas and studios use AI phone agents for booking requests, service questions, cancellations and no-show policies without double-booking stylists.

Salons, spas and studios use AI receptionists to answer calls while staff are with clients, collect booking requests (service, preferred stylist or therapist, preferred times), answer questions about services, prices and policies, and take cancellation messages. Without a live booking integration, the AI should collect requests for the front desk to confirm, never promise a slot, and text booking or deposit links instead of taking card numbers.

Why salons miss calls

Stylists, therapists and instructors spend most of the day with clients, often with their hands busy. The front desk, if there is one, is also checking people in and out. Phones ring through peak hours exactly when nobody can pick up.

What the AI should handle

Call AI action
"How much is a balayage?" Answer from price list (or range with conditions)
"Do you do lash extensions?" Answer from services list
"Can I book with Jess on Friday?" Booking request; front desk confirms
"I need to cancel tomorrow" Cancellation message; state policy
"Running 10 minutes late" Message to the provider
"Do you take walk-ins?" Answer from facts
Complaint about a service Message for the manager or transfer
Gift card questions Answer from facts; link by text

Services and pricing facts

Salon pricing often depends on length, stylist level or add-ons. Write prices as ranges with conditions:

  • "Women's haircuts are $55 to $85 depending on the stylist level."
  • "Color starts at $90; the exact price depends on length and the stylist confirms at the consultation."
  • "Massages are $95 for 60 minutes and $135 for 90 minutes."

Include service length; it affects booking requests.

Booking requests

For booking requests, collect one at a time:
1. Service(s) wanted
2. Preferred stylist or therapist, if any
3. Two or three preferred days and times
4. Name and confirm the callback number
5. New or returning client
Then schedule a callback and say: "The front desk will text you
to confirm the exact time." Never promise a time.

See AI appointment booking calls.

Cancellations and no-show policies

State your policy exactly as written:

"We ask for 24 hours' notice to cancel. Cancellations with less notice may be charged 50% of the service."

The AI should state it, take the cancellation message, and not waive fees. Waivers are a manager decision.

Deposits and payments

Don't have the AI take card numbers by voice. PCI guidance on telephone payments warns that recordings can capture card data. Instead:

  • Text a link to your booking page or deposit form
  • Have the front desk handle payment when confirming

Texting clients

Salons rely on texting for confirmations and reminders. In the US:

  • Business texting from local numbers requires carrier registration (10DLC)
  • CTIA's messaging principles expect consent and clear opt-out instructions
  • Honor STOP and similar replies

A client who calls and asks you to text a confirmation has consented to that text. For ongoing reminders, get consent at booking. See consent for AI text messages.

Reminder calls

AI voice reminder calls need prior express consent under the TCPA because AI voices count as artificial voices. Most salons find text reminders simpler. If you do use calls, keep them between 8 a.m. and 9 p.m. local time and to the appointment only. See AI appointment reminder calls.

Provider preferences

Clients often want a specific stylist. Facts should list:

  • Each provider's name and services
  • Their usual working days (without promising availability)
  • Who's taking new clients

Example: "Jess does color and cuts, usually Tuesday through Saturday. Marco does men's cuts and beard trims, Monday through Friday."

After-hours and lunch coverage

Set the AI to answer:

  • Overflow during busy hours
  • After hours for next-day booking requests
  • Text replies for clients who text the salon number

See AI overflow call answering.

A typical day with AI on the line

  • Morning rush: two stylists are mid-service, the front desk is checking someone in. Three calls go to the AI: a price question (answered), a booking request with Jess for Thursday (request saved), and a "running late" message (passed to the stylist).
  • Lunch: the desk is empty for 45 minutes. The AI takes a cancellation and states the 24-hour policy.
  • Evening: after close, two clients call to book next week. Both requests are confirmed by text the next morning.

None of those callers reached voicemail, and the front desk spent its time with the clients in the room.

Questions salon clients ask that need care

Some common salon questions sound simple but shouldn't get a confident AI answer:

Question Safer handling
"Can you fix a box-dye job in one visit?" Explain that color corrections start with a consultation; take a message for a colorist
"Is this treatment safe while I'm pregnant?" Don't advise; suggest they check with their doctor and offer a message for the provider
"I'm allergic to latex / certain products, is that OK?" Take a detailed message; a provider confirms before booking
"How long will my hair take?" Give typical ranges from your facts, noting the stylist confirms
"Can I get the same price as last time?" Quote current prices from facts; staff handles exceptions

Put the general wording for these in your facts so the agent sounds consistent, and have it route the specifics to a person.

Salon checklist

  • Services list with prices or ranges and durations
  • Provider list with services and usual days
  • Booking request instructions; no promised times
  • Cancellation and no-show policy stated exactly
  • No card numbers by phone; booking or deposit links by text
  • Texting registration and consent for reminders
  • Front desk confirmation routine

Salons in Callata

Callata's Appointment setter preset (default name Mia) collects name, callback number, what the appointment is for and preferred times, schedules a callback request for your team, and tells the client the team will confirm. Agents can text booking or deposit links when texting is enabled (texting registration is a one-time $49), reply to inbound texts until a teammate responds, and transfer to the front desk or manager.

Callata Office is $99 per month with five users included, and each additional stylist who needs the app is $20 per month. AI minutes are $0.25 per minute, with each AI text reply using a quarter minute. Set up your salon on Callata.

Frequently asked questions

Can an AI receptionist book salon appointments?

It can collect booking requests with the service, preferred stylist and times for your team to confirm. Live booking requires a connection to your booking system; without one, the request model avoids double-booking.

Can the AI take a deposit over the phone?

It shouldn't take card numbers by voice. Send a deposit or booking link by text instead, which keeps card data out of call recordings and transcripts.

Can an AI agent send appointment reminders?

Yes, with consent. Text reminders need the client's permission and an opt-out option; AI voice reminder calls need prior express consent under the TCPA.
