An AI phone agent should email a caller when they need information that's too long or detailed for a text: a document checklist, a policy, preparation instructions, service descriptions, or a recap of what was discussed. Capturing the address correctly

Email addresses fail on the phone more than anything else: "m" vs "n," "dot" vs "period," numbers, and unusual domains. Instructions:

Before emailing, ask: "What's the best email address?" Ask the
caller to spell anything unusual. Read the full address back,
letter by letter for the part before the @, and ask "Is that
right?" Only send after they confirm.

Example:

Agent: "What's the best email address for you?" Caller: "It's j-n-g-u-y-e-n at outlook dot com." Agent: "Thanks. That's J, N, G, U, Y, E, N, at outlook dot com?" Caller: "Yes."

If a caller isn't sure of the spelling, offer a text instead.

What to put in the email

Keep it structured and short:

  1. Subject: specific. "Documents to bring for your tax appointment," not "Information."
  2. Opening line: what this is. "As requested on your call today..."
  3. The content: from your business facts, word for word for policies.
  4. Next step: "Our team will call you to confirm a time," or "Reply to this email with questions."
  5. Signature: the agent's name, "AI assistant," and your business name and phone number.

Put email content in your business facts

An AI agent writes better emails when the content already exists in the facts it answers from. Rather than letting it compose a checklist from scratch, add ready-made blocks:

When the caller replies

Follow-up emails invite replies: "Thanks, can I also bring my daughter?" Decide before launch who watches for those replies and how fast they respond. If nobody checks, the email that was meant to save a call creates a frustrated customer instead. A simple rule, such as checking replies at opening and mid-afternoon, is enough for most small teams.

What not to email

  • Invented links or attachments: the agent should only include links from your facts.

CAN-SPAM basics

The CAN-SPAM Act covers commercial email, meaning messages whose primary purpose is advertising or promoting a product or service. The FTC's compliance guide explains that "transactional or relationship" messages, such as information about a transaction or a service the recipient asked for, are exempt from most of the Act's requirements, but still can't contain false or misleading routing information.

  • Bounces (usually mistyped addresses; tighten read-back).
  • Replies that needed a person.
