Appointment Reminder Call and Text Scripts

An effective appointment reminder names your business, states the day, date and time, gives the location or arrival window, and makes it easy to confirm or reschedule with a one-word reply or a call. Send a confirmation at booking, a reminder one to two days before, and, for same-day slots, a short note a few hours ahead.

Below are scripts for texts, live calls and voicemail, plus timing, consent and what to do when someone wants to reschedule.

Keep all reminder calls and texts to reasonable hours in the customer's time zone. Federal rules restrict telephone solicitations to residential numbers to 8 a.m. to 9 p.m. local time; reminders are not solicitations, but the same window is a sensible default.

Consent and registration basics

This is general information, not legal advice.

  • Get permission at booking. "We'll text you a reminder the day before. Is this the best mobile number?" A customer who agrees has given you permission for those reminder texts.
  • Keep reminders informational. Do not add promotions to a reminder. Marketing texts require separate prior express written consent.
  • Include opt-out language in the first text to a new contact. The CTIA Messaging Principles and Best Practices expect senders to honor opt-outs.
  • Register your business number. US carriers require businesses texting from local numbers to register their brand and campaign through The Campaign Registry (10DLC). See what 10DLC registration is.

Preparation instructions

Keep each text under about 160 characters where you can, so it arrives as a single message.

Handling replies

A team member should watch replies during business hours. A customer who replies "R" and hears nothing is likely to become a no-show.

Live call script

"Hi, is this Maria? This is Kim from Summit Heating and Air. I'm calling to confirm your service appointment tomorrow, Thursday, between 8 and 10 a.m. at 22 Birch Lane. Does that still work for you?"

If yes:

"Great. The technician will call when he's on the way. Is there a gate code or anything he should know?"

If they need to change:

"No problem. I have Friday morning 8 to 10 or Monday afternoon 1 to 3. Which works better?"

Always offer specific alternatives. "When would work for you?" leads to back-and-forth.

Voicemail script

"Hi Maria, this is Kim from Summit Heating and Air confirming your appointment tomorrow, Thursday, between 8 and 10 a.m. at 22 Birch Lane. If you need to change it, call us at 555-210-4477. Again, 555-210-4477. Thanks, see you tomorrow."

Say the business name, the day and the time, and repeat the number. Avoid sensitive details in voicemail; someone else may hear it.

Privacy considerations

Reminders can reveal information. A message that says "your appointment for your colonoscopy prep" or "your debt consultation" could expose sensitive details to anyone who sees the phone. Keep reminders general: business name, date, time, location. Health care providers and others with specific privacy obligations should follow their own rules on what reminders may contain.

When reminders do not prevent a no-show

Some customers will still miss appointments. Have a follow-up ready. Scripts are in no-show follow-up scripts.

Track your no-show rate before and after you start sending reminders, and test changes one at a time: the timing of the main reminder, the wording, or adding a same-day text. Use your own results rather than assuming any one approach works best.

Common mistakes

  • Reminders that do not name the business. Customers ignore texts from unknown numbers.
  • No way to reschedule. A reminder that only says "see you tomorrow" leaves people who cannot make it with no easy option except not showing up.
  • Texting from a personal cell. The conversation then lives on an employee's phone.
  • Sending reminders at 10 p.m. Schedule them for business hours.
  • Ignoring replies. A reply is a customer trying to tell you something.

In each case, the extra line answers the question customers most often call about. That small addition can prevent a separate call to the office.

Who sends reminders

Assign reminder duty to one person per day, and give them a short routine: send tomorrow's reminders by early afternoon, check replies before close, call anyone who has not confirmed. If reminders depend on whoever remembers, they will be skipped on the busiest days, which are exactly the days no-shows hurt most.
